Job Description:
We’re seeking a skilled, systems-minded Portfolio Manager to elevate the experience for a fast-growing segment of our client base - owners of 5-15 unit buildings and those with multiple residential holdings. These owners have unique needs: heavier maintenance volumes, limited bandwidth for approvals, and higher expectations for strategic service. This role will build and optimize our approach to serving them - improving SOPs, creating meaningful client touchpoints, and ensuring that we deliver best-in-class service that balances efficiency, care, and results.
Duties and Responsibilities:
● Manage a book of multifamily and portfolio clients (typically 5–15 units per property or 5+ units across portfolios). Deliver high-quality property management aligned to client goals.
● Builds relationships with assigned customers, sets rental rates, negotiates and enforces lease agreements.
● Provides leadership and works closely with the portfolio team members to ensure an exceptional customer experience is provided and takes care of any client issues.
● Becomes the escalation point for addressing late payments and handling operating expenses.
● Terminates leases and initiates eviction proceedings.
● Oversees maintenance tickets and addresses any ‘stale’ tickets.
● Build trust through proactive, regular communication (monthly/quarterly check-ins), strategic planning, and exceptional responsiveness.
● Refine and create systems tailored to small multifamily portfolios - including maintenance workflows, vendor coordination, CapEx planning, and common area upkeep.
● Work closely with each department–leasing, property management, finance, and sales. Over time, help build a “squad” or dedicated support team (e.g., Maintenance Coordinator, Property Management Assistant).
● Monitor key metrics (occupancy, maintenance ticket close times, reviews, NPS). Lead root-cause analysis and continuous improvement efforts.
● Help owners plan for property needs (e.g., annual budgets, CapEx forecasting) and navigate regulatory changes with confidence.
● Create delight moments, service enhancements, and touchpoints that deepen loyalty and improve client retention.
● Proactively advise clients by conducting regular physical inspections (personally or via field team members)
● Maintains fiduciary responsibilities for clients.
● All other duties as assigned.
Success Metrics
● Improved client NPS and satisfaction among portfolio owners
● Occupancy rates maintained at 95%+
● Decrease in escalations and maintenance delays
● New, effective SOPs rolled out for small multifamily management to ensure optimal property management
● Strong client retention and referral growth in this segment
● Demonstrated ability to operate with high autonomy- proactively solving problems, making decisions, and driving initiatives with minimal oversight
● Successfully pioneered and shaped a new role within the organization, establishing best practices and setting the foundation for future team expansion
● Development of scalable “portfolio management playbook”
Skills and Qualifications:
● Degree in real estate, property management, business administration or a related field preferred.
● Must have an active California Real Estate license.
● 5+ years experience in residential property management, with a strong preference for small multifamily or portfolio-level oversight
● Working knowledge of property regulations.
● Proven ability to build and implement systems, SOPs, and scalable processes
● Skilled communicator and client relationship builder
● Strategic thinker with a service-first mindset
● Strong organizational, time management, and delegation skills
● Proficiency in property management software
● Familiarity with AppFolio and Lead simple is preferred
● Understanding of maintenance coordination, CapEx planning, and financial performance tracking
Job Type: Full-time
Pay: $90 - $97,000 per year
